Imagine a pharmacist, overwhelmed with patients...

struggling to provide essential care beyond simply dispensing medications. In today’s fast-paced healthcare environment, pharmacists are increasingly expected to offer personalised consultations, manage complex medication regimens, and ensure patient adherence. This is where PharmaFlo comes in. PharmaFlo is a revolutionary platform designed to streamline intervention management, connect pharmacies with remote pharmacists and ultimately improve patient outcomes.

As the lead product designer on this project, I was responsible for creating a user-centred experience that addressed the unique needs of pharmacies, remote pharmacists and administrators. This article delves into the design process behind PharmaFlo, highlighting the challenges faced, the solutions implemented, and the lessons learned along the way.

Research and Discovery

To ensure Pharma360 truly met the needs of its users, we embarked on a comprehensive research and discovery phase. This involved a multi-faceted approach to gather insights from all key stakeholders: pharmacists, pharmacy owners, remote pharmacists and potential administrators.

Discovery Sessions

We initiated the process with a series of in-depth discovery sessions. These collaborative workshops brought together stakeholders from each user group to discuss their current workflows, pain points and desired outcomes.

Key Insights Gathered:

  • Pharmacies struggled with staffing shortages and limited resources for patient consultations.
  • Remote pharmacists desired a flexible and efficient platform to manage their workload.
  • Administrators needed robust tools for user management, performance tracking, and compliance monitoring.

Competitive Analysis

To understand the existing landscape and identify opportunities for differentiation, we conducted a thorough competitive analysis of other platforms in the healthcare and pharmacy space.

Key Findings:

  • Existing solutions often lacked a comprehensive approach to intervention management.
  • User interfaces were often cluttered and difficult to navigate.
  • Security and compliance features were not always prioritized.

User Interviews

To gain deeper qualitative insights, we conducted one-on-one interviews with pharmacists and pharmacy managers. These interviews allowed us to explore their experiences with intervention services, record management and patient engagement in more detail.

Key Takeaways:

  • Pharmacists emphasised the need for a user-friendly interface that minimised administrative burden.
  • Remote pharmacists highlighted the importance of mobile accessibility and efficient communication tools.
  • Concerns were raised about data security and patient privacy.

Key Concepts Explored

Our research revealed a critical pain point for pharmacy owners: time scarcity. Many were so overwhelmed with daily operations that they struggled to provide essential services like the New Medicine Service (NMS), even though it offered valuable NHS funding. Some pharmacists resorted to taking work home, leading to increased stress and burnout. This struggle was further compounded by the pressure to meet NMS targets to achieve the higher tier of £28 per intervention.

These findings directly influenced several key design decisions in PharmaFlo:

Seamless Integration of Remote Pharmacists

To alleviate the burden on pharmacy owners, we designed a system that seamlessly connects pharmacies with qualified remote pharmacists. This allows pharmacies to offer NMS services without stretching their existing staff too thin, freeing up their time for other essential tasks.

Efficient Workflow and Task Management

We prioritised an intuitive interface and efficient workflow to minimise the time required for pharmacies to manage interventions. Features like automated scheduling, progress tracking, and streamlined communication tools help maximise efficiency and reduce administrative overhead.

Focus on Target Achievement

To help pharmacies reach their NMS targets and unlock higher earnings, we incorporated features that promote efficient intervention completion. Clear progress indicators, automated reminders, and performance dashboards provide pharmacies with the tools and insights they need to stay on track and maximise their revenue potential.

Ideation and Concepting

Sketching

Rapid sketching allowed us to quickly visualize different interface layouts, navigation flows, and feature concepts. I used my reMarkable tablet to capture initial ideas, leveraging its natural pen-on-paper feel and seamless integration with digital tools.

How Might We

We framed design challenges as "How Might We" questions to stimulate creative problem-solving. For example, "How might we make it easier for pharmacies to track intervention progress?

Top HMW questions:

  • How might we design a system that empowers pharmacies to offer NMS services without increasing their workload
  • How might we motivate remote pharmacists to consistently deliver high-quality interventions?
  • How might we ensure that Pharma360 remains compliant with evolving data privacy regulations while maintaining a user-friendly experience?

User Flow Diagrams

We visualised the user journey for both pharmacy staff and remote pharmacists by creating user flow diagrams. These are just some of the diagrams I created to map out the steps required to complete key tasks, such as onboarding new pharmacies, managing interventions and processing patient data.

Wireframing

Low-fidelity wireframes were created to establish the basic structure and layout of each screen, focusing on functionality and information hierarchy.

Key Concepts Explored

Call Centre Engine

To address the pharmacists' need for efficient time management, we conceptualised a 'call queue' system that allows remote pharmacists to seamlessly transition between patient consultations.

Streamlined Data Upload

We explored various approaches to simplify the process of uploading patient data, including batch uploads, CSV support and intuitive error handling.

Gamification for Remote Pharmacists

Inspired by the desire for increased engagement among remote pharmacists, we explored the concept of gamification, incorporating elements like achievement badges and performance leaderboards.

Design and Prototyping

Armed with research insights and refined concepts, we transitioned into the design and prototyping phase. This iterative process involved translating our ideas into tangible interfaces and validating them through user feedback.

Visual Design and UI Kit

To ensure a cohesive and visually appealing user experience, we used the "Untitled UI - PRO VARIABLES (v6.0)" Figma UI kit as the foundation for our design system. This comprehensive kit provided a consistent set of UI elements, typography styles, and colour palettes, enabling us to maintain a unified aesthetic across all screens and interactions within PharmaFlo.

Leveraging the kit's pre-built components and styles allowed us to focus on tailoring the interface to the specific needs of PharmaFlo users, while ensuring a polished and professional look and feel. The "Untitled UI" kit's emphasis on accessibility and responsiveness further aligned with our goals of creating an inclusive and user-friendly platform.

High-Fidelity Mockups

To bring our vision to life, we created high-fidelity mockups in Figma, focusing on key user flows for both pharmacy staff and remote pharmacists. These mockups showcased the platform's intuitive dashboards, streamlined patient data management tools, and efficient intervention workflows, all while maintaining a cohesive and engaging aesthetic.

These detailed designs allowed us to explore different visual directions and refine the user interface based on feedback from stakeholders and potential users, ensuring a user-centered approach throughout the design process.

Interactive Prototyping

To accelerate the development process and provide a more tangible representation of the user experience, we decided to build the prototype directly in FlutterFlow, the client's preferred development platform. This approach allowed us to create a high-fidelity, interactive prototype that closely mirrored the final product's functionality and visual design.

Iterative Feedback and Refinement

We conducted regular design reviews and user testing sessions throughout the prototyping phase. This iterative feedback loop allowed us to identify areas for improvement, refine interactions and ensure the platform met the needs of all user roles.

Key Design Considerations

Clarity and Error Prevention

To minimise errors and ensure accurate data entry, we focused on clarity and intuitive design. This involved using clear labeling, consistent terminology, and visual feedback mechanisms.

Information Hierarchy

To ensure users could easily navigate and understand the platform's features and data, we prioritised clear information hierarchy throughout the design.

Engagement and Motivation

To maintain high levels of engagement among remote pharmacists, we incorporated elements of gamification and personalization. This included progress trackers, achievement badges, and customizable profile dashboards.

The Outcome

The final design of PharmaFlo is a testament to our user-centred approach and commitment to creating a truly valuable solution for the healthcare industry. The platform boasts a clean, modern aesthetic with intuitive navigation and a focus on efficiency. Key features include personalised dashboards for each user role, streamlined patient data management, a seamless call queue system for remote pharmacists and gamified elements to enhance engagement.

While we don't yet have concrete data from a live deployment, we anticipate significant positive impacts on user experience and business metrics. By simplifying workflows and reducing administrative burden, PharmaFlo is expected to increase efficiency for both pharmacies and remote pharmacists. This should lead to improved patient care, increased intervention completion rates and higher revenue generation for pharmacies through successful NMS claims.

Throughout this project, we learned the importance of close collaboration with stakeholders and the power of iterative feedback. Early user testing was crucial in identifying areas for improvement and ensuring the platform truly met user needs. We also learned to embrace flexibility and adapt to evolving project requirements, as demonstrated by our shift to Flutter Flow for prototyping.

This project showcased my skills in user research, interaction design, visual design and prototyping. I'm particularly proud of the platform's intuitive interface, streamlined workflows, and focus on user engagement.
